Sorting Records in a Datasheet

You can control the order in which records appear in a datasheet (table or query) by using the sort feature.

To sort records in a datasheet:

  1. Open the table or query in Datasheet view.
  2. Click in the field that you want to sort on.
  3. Click the Sort Ascending or Sort Descending toolbar button.

You can sort on more than one field. Select adjacent fields, and then click the appropriate sort button. Access will sort first by the field that is farthest to the left. If you want to sort a datasheet by last name, then first name, make sure that the last name field appears to the left of the first name field. Then select both fields and click Sort Ascending.
In Datasheet view, you can sort records by:
  1. Clicking the Sort Ascending or Sort Descending toolbar button.
  2. Click the Records menu. Point to Sort, and select Sort Ascending or Sort Descending.
