Printing Database Objects and Data

Printing database objects and data operate the same way as other Microsoft Office 2003 applications. You can choose to print the entire object or only selected records.

To print table, query, or form data:

  1. Open the object in the view you want to print.
  2. Click the Print toolbar button to print all of the records.

To print only selected records:

  1. Open the object in datasheet view and select the records you want to print.
  2. Click the File menu, and select Print....
  3. In the Print dialog box, click the Selected Record(s) radio button.
  4. Click OK to print just the selected records.


There are a number of ways to select records to print:

  • To select a column, click the field selector at the top of the column, or click and drag across several field selectors to select multiple columns.
  • To select a row, click the record selector at the left side of the row, or click and drag across several record selectors to select multiple records. You can also, click in the row you want to select, click the Edit menu and click Select Record.
  • To select a series of cells, click and drag across the cells to select them.
  • To select all the records in a datasheet, click the Edit menu and click Select All Records.

To open the Print dialog box, you can also press + on the keyboard.
