Putting Headers and Footers on Pages

A header is a bit of text along the top of a page that tells readers what's what in a document. Usually, the header includes the title of the document, the author's name, and a page number. Footers do the same things as headers, only they do it along the bottom of the page, as befits their name.

This section explains how to enter a header or footer; how to read and take advantage of the buttons on the Header and Footer toolbar; and how to include document information such as page numbers, dates, and times in headers. It describes how to create headers for odd and even pages and how to change the header in the middle of a document. It also explains how to remove a header or footer from the first page of a document.

ENTERING A HEADER AND FOOTER

Follow these steps to enter a header and footer in a document:

1.      Choose View | Header and Footer. The Header and Footer toolbar appears along with a rectangle and the word "Header."

TIP: In Page Layout view, you can simply double-click a header or footer to make the Header or Footer rectangle appear.

2.      Type the header. As you do so, you can call on most of Word 2000's formatting commands. For example, you can choose a new typeface, or boldface or italicize the letters. You can even put graphics in headers and footers. The next section explains how to include document information in headers and footers with buttons on the Header and Footer toolbar.

3.      Click the Switch Between Header and Footer button on the toolbar. Now you see a rectangle and the word "Footer." The Switch Between Header and Footer button takes you back and forth between the header and footer.

4.      Enter the text of the footer.

5.      Click the Close button on the right side of the Header and Footer toolbar.

Including Document Information in Headers and Footers

The Header and Footer toolbar offers several buttons for entering information about the document you are working on in a header and footer. Table 7-2 explains why and when to click those buttons.

Lists the total number of pages in the document. By typing page, clicking the Insert Page Number button, typing of, and clicking the Insert Number of Pages button, you can enter the following in a header or footer: page 1 of 20.

Lists the date the document was printed (not today's date or the date the header or footer was created).

Creating Different Headers and Footers for the First Page

To create a different header or footer for the first page of a document, or to remove a header and footer from the first page of a document, follow these steps:

1.      Click the Page Setup button on the Header and Footer toolbar or choose File | Page Setup. The Page Setup dialog box appears.

2.      Click the Layout tab. It is shown in Figure 7-20.

3.      Click the Different First Page check box.

4.      Click OK.

5.      Go to the first page of the document or section—the one whose header or footer is to be different.

6.      Choose View | Header and Footer. Now the header or footer box says "First Page Header" or "First Page Footer" to let you know that this header or footer can be different than the others in the section or the document:

7.      Enter a header, a footer, or both. Or, leave the header and footer box blank if you don't want a header or footer on the first page.

8.      Click the Close button on the Header and Footer toolbar.

Headers and Footers for Odd and Even Pages

In two-sided documents in which text is printed on both sides of the paper, sometimes the header and footer on the even page and the header and footer on the odd page are different. In the book you are holding in your hands, as a matter of fact, the headers on even pages tell you the title of the book, and the headers on odd pages tell you which chapter you are in.

You, too, can create different headers and footers for odd and even pages by following these steps:

1.      Either click the Page Setup button on the Header and Footer toolbar or choose File | Page Setup. The Page Setup dialog box appears.

2.      Click the Layout tab (see Figure 7-20).

3.      Click the Different Odd And Even check box.

4.      Click OK.

5.      Move the cursor to an even page and choose View | Header and Footer. Now the Header and Footer boxes tell you that you are entering a header or footer that will appear only on even pages:

6.      Enter the header, the footer, or both for the even pages.

7.      Move the cursor to an odd page and repeat steps 5 and 6.

8.      Click the Close button on the Header and Footer toolbar.

To change headers or footers in the middle of a document, you must create a new section. When you create a new section, Word 2000 assumes you want to keep the same headers and footers throughout, and it runs the headers and footers from the previous section in the new section as well. However, suppose you want to create new headers and footers for the section you created. To do that, follow these steps:

1.      Click in the section of the document in which you want to create new headers and footers.

2.      Choose View | Header and Footer. The Header and Footer toolbar appears. This time, however, the Header (or Footer) box tells you which section you are in and that the header (or footer) is the same as that in the previous section:

3.      Click the Same as Previous button on the toolbar. Now the words "Same as Previous" disappear from the Header (or Footer) box and you can rest assured that the new header you type will be different from the old one.

4.      Delete the header (or footer) contents and enter the new information.

5.      Click the Close button on the Header and Footer toolbar.

TIP: On the Header and Footer toolbar are buttons called Show Next and Show Previous. As you compose a new header (or footer), click these buttons to see what the header (or footer) in the next or previous section is.

Removing a Header or Footer

Removing a header or footer is pretty simple. All you have to do is put the header and footer onscreen either by choosing View | Headers and Footer or double-clicking the header or footer while the screen is in Page Layout view. Next, drag the pointer across the header or footer to select it. Then press Delete.
