Outlook makes it pretty easy to reply to and forward messages. To reply to a message, all you have to do is click one of the two buttons on the left side of the Message window—Reply or Reply to All—and enter the text of a reply. To forward a message, all you have to do is click the Forward message and give Outlook the name and addresses of the parties to whom the message will be forwarded. The following pages explain how to reply to and forward messages.
When you reply to a message, you don't have to know the e-mail address of the person to whom you are replying. Outlook keeps that information for you. All you have to do is click the Reply or Reply to All button and enter the text of your reply. Follow these steps to reply to a message:
1. Click the Reply or Reply to All button:
· Reply Click this button to reply to the person who sent you the message.
· Reply to All Click this button to reply to the person who sent you the message, as well as all the people to whom copies of the message were sent. As shown in Figure 20-4, the names of people who received copies appear next to the Cc: button in the RE: Message window.
After you click a button, you see the RE: Message window, as shown in Figure 20-4. What Outlook calls the "memo header"—the name of the person the message is from, when the message was sent, who it was sent to, the names of people who received copies (if any), and the subject of the message—appears in the text box along with the text of the message.
2. Click above the message and write your reply. If you’re replying to a HTML or Rich Text formatted message, the words you type appear in blue. If you want, you can delete the memo header and all or as much of the original message as you like. You needn't include all of it in the reply.
TIP: To turn off the automatic quoting of original messages
when replying, choose Tools | Options, then click the E-mail Options button.
From the When Replying To A Message drop-down list box, choose Do Not Include
Original Message.
3. Click the Send button.
